Inviting and Managing Team Members

Team membership in Rack Manage is managed through email invitations. Owners and Admins can invite new members, resend or cancel invites, and remove existing members. This lets teams control who has access to shared racks, rooms, and inventory while keeping the team workspace secure.

Inviting a member

Invites are sent to a specific email address, and the invited person must accept using that same email. When inviting someone, you choose their initial role (Viewer, Editor, or Admin).

To invite a new member:

  1. Go to Settings → Team (in Team Mode)

  2. Click Invite Member

  3. Enter their email and choose a role

  4. Send the invite

How invitations work

  • Invites are emailed from [email protected]

  • Invites expire after 7 days

  • If the user doesn’t have an account yet, they’ll create one during acceptance (using the invited email)

Accepting an invite

When a user clicks the invitation link:

  • They’ll be prompted to sign in (or create an account)

  • Once authenticated with the invited email, they are added to the team

  • They’ll be redirected into the team workspace

Resending or canceling an invite

For pending invitations, the team list includes actions in the ⋯ menu:

  • Resend Invitation if the invite expired or got missed

  • Cancel Invitation if you no longer want that person to join

Removing a member

Owners and Admins can remove members at any time (except the Owner). Removal takes effect immediately: the removed user loses access to the team workspace and team settings.

To remove someone:

  • Go to Settings → Team

  • Use the ⋯ menu on their row

  • Select Remove
